What you will be doing:
We are looking for a skilled Payroll Benefits Manager to oversee all aspects of payroll processing and employee benefits administration at our SaaS startup. The ideal candidate will have a strong understanding of payroll and benefits, best practices, compliance, and a passion for providing top-notch services to our team members. This role offers a unique opportunity to make a significant impact on our growing organization by ensuring the smooth execution of payroll and benefits programs. As a New Hire Onboarding Specialist, you will play a crucial role in ensuring our team members are well-prepared to contribute to our company’s success. We are seeking a New Hire onboarding specialist to create seamless and engaging onboarding experience for our new employees. As a key member of our HR team, you will be responsible for designing, executing, and continuously improving our onboarding process to help our new hires integrate into the company culture, understand their roles, and become productive members of our team.
Summary of Responsibilities
1. Payroll Management:
- Manage and oversee all aspects of the payroll process, ensuring accuracy,
timeliness, and compliance with local and federal regulations.
- Process payroll transactions, including salary adjustments, bonuses,
expenses, and maintain payroll records.
- Process payroll for our Canadian employees.
- Setting up payroll for new states as we continue to hire.
- Collaborate with HR to maintain accurate employee data, tax information,
- Address and resolve payroll-related inquiries from employees.
2. Benefits Administration:
- Administer employee benefits programs, including health, dental, vision, retirement, and other offerings.
- Serve as the point of contact for employees regarding benefits-related questions and issues.
- Ensure compliance with applicable laws and regulations, including reporting and filing requirements.
3. Compliance and Reporting:
- Stay up to date on relevant payroll and benefits legislation and regulations.
- Prepare and submit required tax and regulatory reports and filings accurately and on time.
- Develop and maintain accurate payroll and benefits records for auditing purposes.
4. Process Improvement:
- Identify opportunities for process improvement, automation, and optimization of payroll and benefits operations.
- Implement best practices to enhance efficiency and data accuracy.
5. Vendor Management:
- Collaborate with third party vendors and service providers to ensure seamless payroll and benefits services.
- Monitor vendor performance and resolve any issues or discrepancies.
1. Onboarding Program Maintenance and management:
- Maintain our comprehensive onboarding program.
- Manage uploading of all required documents.
- Maintain all records and file accordingly.
2. Orientation & Training:
- Coordinate with hiring managers on setting up all required meetings.
- Retrieve completed onboarding plan for new joiners.
- Send out all onboarding meeting invites.
3. Compliance & Documentation:
- Ensure all necessary employment documentation, including contracts, tax forms, and benefits paperwork, is completed accurately and on time.
- Maintain employee records and track the progress of onboarding tasks.
4. Support & Integration
- Serve as the primary point of contact for new joiners, offering guidance and support throughout their onboarding journey.
- Foster a sense of belonging and integration by assisting in organizing team building activities.
5. Evaluation & Feedback:
- Gather feedback from new joiners and team leaders to assess the effectiveness of the onboarding process.
- Continuously improve the onboarding experience based on feedback and evolving business needs.
6. Technology & Systems:
- Utilize onboarding software and other tools to streamline the onboarding process, automate tasks, and improve efficiency.

Where you will be doing it:
Where you will be doing it: This position is a hybrid position with flexibility to work from anywhere in North America, you will be required to travel to Princeton, NJ for a week once a month. Similarly, the people you will be working with are from all over North America and Europe. Applicants should have a willingness to travel for major company functions, conferences, and client meetings as well as be flexible in working on a diverse team across several time zones – 20-30% travel expected. The ability to travel internationally is a requirement.

- Bachelor’s degree in human resources, Finance, Accounting, or a related field.
- Proven experience in onboarding, HR, or a similar role.
- Proven experience in payroll process and benefit administration.
- Strong knowledge of payroll and benefit regulations and compliance.
- Strong knowledge of Hr policies, procedures, and employment laws.
- Proficiency with payroll software and systems, as well as Microsoft Excel and SharePoint.
- Proficient with HR software and onboarding tools.
- Exceptional attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Problem-solving and analytical skills.
- Ability to work independently and as part of a team.
